01Person in charge of the protection of personal information

As required by law, a person is responsible for the protection of personal information within our organization. You may contact this person with any question about this policy or to exercise your rights.

02Information we collect

Information you provide to us

When you submit an application to the Cercle, request information about a wedding or an event, book a stay, or communicate with us, we may collect:

• Your first and last name
• Your contact details: email address, phone number, mailing address
• Your date of birth or celebration date, where requested
• The information you enter in our forms (answers, preferences, how you heard about us, household composition)
• A photograph, if you choose to provide one
• The information required to process a payment, handled by our payment provider
• The content of your exchanges with us

Information collected automatically

When you browse our site, certain technical information may be collected automatically through cookies and audience measurement tools: IP address, device and browser type, pages viewed, date and duration of the visit, and how the visit originated. To prevent abuse of our forms, your IP address is stored as a non-reversible fingerprint.

Interaction with our communications

When we send you a document, such as our wedding brochure, we may measure your interaction with it, for example whether it was opened, when and for how long, as well as which sections were viewed. This information helps us serve you better and meet your expectations. You can opt out of our communications at any time through the unsubscribe link included in our emails.

03Purposes of collection

We collect and use your personal information only for the following purposes:

• Processing and evaluating your application to the Cercle
• Responding to your information requests and sending you our documents (brochures, proposals)
• Organizing and managing booked weddings, events, stays and experiences
• Managing your membership, your member account and related payments
• Communicating with you about the estate and our activities
• Improving our site, our services and your experience
• Meeting our legal and regulatory obligations

We do not reuse your information for other purposes without your consent, except where the law permits or requires it.

04Consent

By sending us your personal information through our forms or by email, you consent to its collection and use for the purposes described in this policy. You may withdraw your consent at any time, subject to applicable legal and contractual obligations, by contacting the person identified in section 01.

05Cookies

Our site uses cookies to ensure it works properly, remember your preferences and measure its audience. You can set your browser to refuse cookies or to notify you when they are used. Refusing certain cookies may, however, limit some features of the site.

06Disclosure to third parties and hosting

We never sell your personal information. We rely on trusted service providers who process certain information on our behalf, only to the extent necessary to deliver their services: hosting of the site and database, payment processing, audience measurement, email delivery and management of our communications.

Some of these providers may store or process information outside Quebec, notably in the United States. Before entrusting such information, we assess the privacy factors involved and ensure it benefits from adequate protection through appropriate contractual commitments. We may also disclose information where the law requires it, notably at the request of a competent authority.

07Retention and destruction

We keep your personal information for as long as necessary for the purposes for which it was collected, or to meet our legal obligations. When it is no longer needed, we destroy it securely or anonymize it.

08Security measures

We take reasonable physical, technological and organizational measures to protect your personal information against loss, theft, and unauthorized access, disclosure, copying, use or modification. Access to your information is limited to those who need it in the course of their duties.

09Your rights

Subject to the conditions set out by law, you have the following rights with respect to your personal information:

• Access: obtain confirmation that we hold information about you and access it
• Rectification: have inaccurate, incomplete or ambiguous information corrected
• Withdrawal of consent: withdraw your consent to the use of your information
• De-indexing: request that the dissemination of information, or its indexing, cease in the cases provided for by law
• Portability: receive the computerized information you provided to us in a structured, commonly used technological format

To exercise any of these rights, contact the person identified in section 01. We will respond within the timeframes provided by law. Proof of identity may be requested before acting on your request.

10Information concerning minors

Our services are intended for an adult clientele. We do not knowingly collect personal information about a person under 14 years of age without the consent of the person holding parental authority.

11Confidentiality incidents

In the event of an incident involving your personal information that presents a risk of serious injury, we will take reasonable measures to reduce its consequences, keep a record of the incident, and notify you, as well as the Commission d'accès à l'information, in accordance with the law.

12Changes to this policy

We may amend this policy to reflect changes in our practices or in the law. The version in force is the one published on this page, with its update date. We invite you to review it from time to time.
